How to Automate Event Management with Zapier Integration

Managing multiple folders, programs and other elements can sometimes be challenging, making it difficult to keep everything organized and updated on time. That’s where tools like Zapier come in to assist.

Zapier automates both simple tasks and complex processes, saving time, improving data accuracy and facilitating better lead outreach. It is used for lead and data management, customer communications and internal processes. For example, it can update tasks and send responses, create custom notifications for critical business information, keep track of your leads, automate newsletter tasks and automatically pull data for reports, charts and dashboards.

To establish a connection between your internal documents, apps, programs and our interactive floor plans, we can integrate with Zapier. Here is a use case of integration for JetLAG — the largest East European music festival in the United States.

With over 100 performances taking place over three days, it was crucial to provide participants of JetLAG with access to the timetable, enabling them to stay informed about the various activities and plan their routes accordingly.

JetLAG used Airtable, a virtual spreadsheet service, to create an event schedule. We needed to transfer this data to our system and synchronize it with Airtable, ensuring that any updates appeared both on our interactive floor plans and Airtable. Zapier retrieved the data from Airtable and transferred it to our API.

That is what it looked like:

Thanks to the integration with Zapier, we have made the process more accurate and automatic, eliminating the risk of missing any updates. Each time a new event appeared, the participants could see it on the floor plan without the necessity of the JetLAG Team to contact our Support Team.
